Refund Tips

Cancelling an Order does NOT cancel the payment.  Use Issue Refund instead, available from the Payments Menu in the Order Manager.  Then cancel the order for inventory restocking and for Forms Report accuracy.

 

If it is necessary to refund an order, it is necessary to wait 24 hours before issuing a refund.  Your customer will have access to those funds quicker.

Whether you are an existing ePayTrak 4.0 user, or have been considering an ePayTrak implementation for your organization, we think you will find the enclosed information useful AND exciting! We have made improvements to ePayTrak during the past month, and just wanted to give you a brief overview of some of the more popular new additions.
 
Recent ePayTrak Upgrades & Improvements 
Wait List Improvements
  • You can now determine when a student was added to the Wait List for a class that is full.  Go to Manage>Wait List and the date will appear next to the student's name. 
  • The Wait List now has increased Sort capabilities including Product Name (or class), User Name, First Name and Last Name.
Product Template and Reports Improvements
  • You can now create required fields for a Text Box and Text Area field in a Product Template.  Customers who do not fill in the required information will  see a message of the fields they didn't complete when they try to proceed to checkout.  This will greatly improve gathering data from your customers.
  • The Forms Report will now display the actual payment made for the order, rather than the amount of the order regardless of payment made.
  • The Export functionality for reports has been improved.  The .csv export no longer will have columns of data that you don't need.

ePayTrak Tips
  • You have the ability to change a password for your customers.  Go to People>Users and find the user/customer.  Click 'edit' to open the user profile.  Enter the new password in both password fields, check Update Password and press Save.  The customer can change the password when they sign in under the Account menu. 
  • Using Wild Cards can be a very useful tool in locating a customer in ePayTrak.  Some customers have made errors entering their information.  (For example, entering a Middle Initial in the last name field for example).  I would recommend using an asterisk * as a Wild Card.  If you are searching for Smith, you can try searching for *mith*.  This will improve your odds of locating your customer.
