Refund Tips

Cancelling an Order does NOT cancel the payment.  Use Issue Refund instead, available from the Payments Menu in the Order Manager.  Then cancel the order for inventory restocking and for Forms Report accuracy.

 

If it is necessary to refund an order, you need to wait 24 hours before issuing a refund.  Your customer will have access to those funds quicker.

Whether you are an existing ePayTrak 4.0 user, or have been considering an ePayTrak implementation for your organization, we think you will find the enclosed information useful AND exciting! We have made improvements to ePayTrak during the past month, and just wanted to give you a brief overview of some of the more popular new additions.
 
Recent ePayTrak Upgrades & Improvements 

 

ePayTrak Launches Billing and Fee Management Module

  • ePayTrak has recently launched a major new upgrade that includes a complete fee management system. Schools now have the ability to generate fees by district, grade, school, or individual student ID. Schools can keep a running balance of amounts due, send out mail and e-mail statements, manage aging and accounts receivable, and much, much more. Parents can log into their ePayTrak account and see balances and history including all payments for their students, then easily pay any outstanding balances with a few simple clicks. New reports have been added to complement that functionality including a full suite of aging reports, invoices and statements. We will soon present a Webinar of the new functionality to anyone who is interested in implementing this in their school. Stay tuned for further details! Many thanks to the Franklin Public Schools for their help in the development of this exciting new upgrade!
  • The Admin Help files have been updated to include all improvements made to ePayTrak. To locate the Help Files go to Help>Online Support.
  • You can now export your products/classes in an Excel or .csv format if you wish to create a Class catalog.

ePayTrak Tips
  • Need to collect important information during a registration?  A Product Template can give you great flexibility gathering that data, and the corresponding Forms Report will display all of your captured information (and it's easily exportable to Excel!).
  • Do you need to create a large number of products or classes in ePayTrak?  There is an Import Product option under Configure>Imports/Exports/Product Import that can be a huge time saver for those schools with a large list of classes or products to enter. Rather than entering the data directly into ePayTrak, you can configure it in an Excel spreadsheet and import the whole list at once! If you need assistance with this functionality, contact ePayTrak Tech Support.
